Description
The Valencia clubhouse provides a luxury space with access to the pool area as well as large screened lanai. This area is quaintly decorated with a comfortable seating, couches as well as a full size billiards table its center. Enjoy full use of a walk through kitchen space with counter and bar area and large restrooms accessibility.
Fee Information
The clubhouse rental fee for a private event is $100. A refundable security deposit of $500 due at time of reservation.
Your reservation will be confirmed once the management company has noted the availability of your requested date/time and received your security deposit and rental fee.
If the clubhouse is left clean and undamaged following the event, your security deposit will be immediately be refunded. Any additional cleaning needs or damages incurred will result in partial or full loss of security deposit. If damages exceed security deposit amount, additional fees may be incurred.
General Rules
- The Event is to take place solely within the boundaries of the Clubhouse. The maximum capacity for the Clubhouse is 99 people. Resident acknowledges that the maximum permitted occupancy for the 99 people, and Resident shall not permit more than 99 people to occupy the Clubhouse at any time during the Event. The Board reserves the right, in its sole, discretion, to limit the size and location of the Event. The Board further reserves the right to require security personnel attend the event at a cost to be paid solely by the Resident.
- Resident understands that parking is limited. Resident will discuss with Association how Resident will handle parking for its invitees and guests. The Association shall have final say over the parking plan for the Event and may, in its sole discretion, require Resident to hire off duty police for purposes of parking.
- The Clubroom and all indoor common areas are designated as Non-Smoking Areas. Resident shall not permit any person to smoke in the Clubroom or in any indoor common areas of the clubhouse.
- No alcoholic beverages may be consumed outside of the Clubroom. The use of alcoholic beverages must be in accordance with all federal and state regulations. No alcohol may be served to minors and Resident shall require all guests to provide a valid ID prior to being served any alcohol. Resident assumes all risk and liability arising out or relating to the consumption of alcohol at the Event by Resident or any of Resident’s guests or invitees. Resident shall indemnify, defend, and hold the Association, its members, officers, directors, managers, and employees harmless from and against any liability or damages arising out of or relating to the consumption of alcohol at the Event by Resident or any of Resident’s guests or invitees.
- Management shall have access to the Clubroom at all times, and the Resident agrees that should Management deem the use of the Clubroom or the actions of Resident or any of Resident’s guests or invitees undesirable for any reason, the Resident and guests shall vacate the premises immediately.
- Resident shall leave the Clubroom and all Association property in clean and good condition as provided in the Check In/Out List attached to the Agreement as Exhibit B. Resident assumes responsibility for all damages to the Clubroom, clubhouse building, furniture, equipment, and any other Association property. The Association may charge Resident for any costs the Association may incur in cleaning the Clubroom or for any damage to the Clubroom, clubhouse, furniture, equipment, or to any Association property. The Association may assess all or a portion of such costs against Resident’s Security Deposit, which costs may or may not exceed the amount of the Security Deposit. In the event the Association is required to engage counsel to pursue or enforce any rights or remedies under this Agreement, the Association shall be entitled to recovery any and all attorney’s fees and costs incurred, regardless of whether legal action is filed or not.
- Resident shall remove all trash and personal property from the Clubroom immediately after the Event, including but not limited to trash, dishes, food, beverages, paper goods, decorations, and any furniture or other items brought in by Resident or Resident’s guests or invitees. Decorations and balloons may not be placed outside of the clubhouse, and if decorations and balloons are used, they must be removed after the function. If Resident fails to remove all personal property and restore the Clubroom to the condition in which it existed prior to the Event, the Association may charge Resident for all necessary clean up, property removal, or damage to the Clubroom or Association property pursuant to the terms of the Clubroom Rental Agreement and the Check In/Out List attached to it as Exhibit B. The Association may assess all or a portion of such costs against Resident’s Security Deposit, which costs may or may not exceed the amount of the Security Deposit.
- Resident may not use the Clubroom or any Association property for any unlawful purpose and shall not permit any disturbing noise, or permit any act that may interfere with the rights, comforts, or convenience of other Valencia at South Beach Condominium unit owners or residents.
- The Resident leasing the Clubroom pursuant to the Clubroom Rental Agreement SHALL BE PRESENT AT ALL TIMES during the Event.
- The usage of the Summer Kitchen, Pool, Pool deck and Fitness Center is NOT permitted during the time of Resident’s Event.
- Resident may not permit any secured doors to be propped open at any time, and Resident may not permit the posting or disclosure of any security access codes.
- Resident expressly agrees to assume the risk of any accidents or personal injury that Resident, Resident’s guests, or any other person may sustain while using the clubhouse and surrounding property, and agrees that Valencia at South Beach Condominium Association, Inc., its members, officers, directors, managers, and employees will in no way be liable for any such injury. The undersigned Resident shall indemnify, defend, and hold harmless Valencia at South Beach Condominium Association, Inc., its members, officers, directors, managers, and employees, from and against any liability or damages arising out of or relating to the Event or Resident’s use of the Clubroom, clubhouse, or any other Association property, including without limitation any injuries sustained by any guest of the Resident on any Association property, or any property damage or injuries to any other persons caused by Resident or Resident’s guests that arise out of or are related to the Event.
- Resident is to visit the office the first business day after the Event to have the Clubroom inspected.
- Resident may not use the Clubroom or the clubhouse for sales of any kind.
Clean-Up Checklist
The HOA does not provide a cleaning service after each event. It is the responsibility of the renter to leave the facility clean. Failure to do so may result in all or part of the security deposit being forfeited to cover the cost of an additional cleaning service. Please use the following checklist to leave the clubhouse ready for the next rental.
- Bathroom cleaned. No trash or water on the floor.
- Kitchen sink, cabinets, and countertops cleaned.Refrigerator cleaned. All food and drinks brought with you removed.
- All clubhouse furniture cleaned and returned to its original location.
- Floors swept and mopped clean.
- All event decor removed.
- Glass doors cleaned.
- Trash and recycling emptied, and bags replaced. Large outdoor bins are located inside the wooden enclosure between the pool and playground. If the outdoor receptacles are full, please notify Management.
- Trash, decor, and personal items removed from pool deck and/or playground area, if used.
- General overall condition of facility inspected. Clubhouse rental contact notified of any damage.
- Thermostat is on AUTO with temperature set to 76° in the summer and 65° in the winter.
- Bathroom doors bolted.
- Both exterior doors (street and pool entrances) locked. Any damage that occurs after the rental due to unlocked doors will be the responsibility of the renter.
